Dear Exhibitor, The Board of Directors of the QUICKSILVER MOTORCYCLE RALLY would like to personally invite you to participate in our annual motorcycle rally. Our rally and rodeo is afreeadmission event and a way we give back to the people of our community. This year is our 10 th annual rally and rodeo. Each year we reflect on the years past to improve and change in areas that need improving. As we began preparing for our 2009 rally and rodeo we realized it was time to take our event to a new level of excellence. We chose to take our rodeo from rough stock competitions to a fully sanction status which meant a two day rodeo as well as a much larger event and a better opportunity for our exhibitors to increase sales. We are proud to say that the event was a huge success. We had over 10,000 people in attendance and an incredible turn out for the free fireworks show on Saturday night after the bull riding. We are proud to say that all of this is done by local business sponsorship, New Life Worship Center/Priesthood Motorcycle Ministries and the hard work of volunteers from all over the state. Quicksilver Motorcycle Rally and Rodeo was awarded Best New Rodeo and Rodeo of the year by ACRA/IPARA for 2009. We are expecting an attendance of well over 10,000 this year. We believe our vendor packet will give you the information you need to participate. Please read the information thoroughly and fill out all information on the application. FOOD VENDORS: Exhibitors will be provided individual spaces measuring 30' (depth) x 20' (width). Anyone requiring in excess of 20' total width (including hitches, awnings, accessories, etc.) must purchase additional space. At this time we do not have ice available for our vendors, although we are working towards having an ice truck put on site for the event. Until we have that secured, please have another means of having ice for your vending needs. NON-FOOD: Exhibitors will be provided individual spaces measuring 10' x 10' spaces. All booths must have lighting and remain on each night for booth appeal and security purposes. Exhibitors must provide all partitions, tables, lighting and electrical cords. Please have at least 100 feet of extension cord available for your lighting needs. No vehicles will be aloud to stay parked next to your booth. We will have vendor parking just adjacent to your vendor area. ELECTRICAL SERVICE: If you require electrical service, please indicate on the application form the type of service (110v or 220v), the number of outlets and the amperage required. You will need to provide your own heavy duty extension cords (#12 gauge minimum). All vendors requiring electrical service will be subject to electrical inspections. R.V.'s are not allowed in vendor spaces and may not use vendor space electrical supply. R.V.'s can park on our camping area but there are no electric or other services provided. There are campgrounds in the area where spaces may be rented. (See the list of Campgrounds listed on our website: quicksilverrally.com SET-UP & TEAR-DOWN: You can set up on Thursday or Friday August 20 th or 21 st starting at 5:00 PM Thursday and 8:00 AM Friday. No set ups are allowed prior to Thursday afternoon. All vendors must sign in at the New Life / Priesthood Booth. You will be given your vendor packs at that time. EXHIBITOR FEES:
Cost of each booth space is for the entire event. We do not offer daily exhibitor fees. Spaces are assigned to each vendor. Full payment or 50% deposit must be received along with the application before spaces will be reserved. The deadline for application and deposit is not later than May 31 st. Final deadline for full payment of rented space is on or before, June 21 st. Deposits and balance of payments are non-refundable. Please make checks or money orders payable to Quicksilver Rally. LIABILITY INSURANCE: All vendors are required to provide evidence of public liability and property damage insurance. Vendor applications will not be accepted or confirmed without proof of insurance. LICENSE: Food vendors are required to have a food vendor's license. No Exceptions. Oklahoma State Sale Tax: The Oklahoma Tax Commission requires “special event vendors to collect sales tax from purchases of tangible personal property and services taxable under Section 1350 et seq. of title 68 of the Oklahoma Statutes and shall remit the tax daily, along with a daily sales tax report” to the rally coordinator. If you have an Oklahoma Sale tax permit, we will need to have a copy of your permit. All sale tax will need to be paid to the Rally Coordinators, before you leave the Rally or by 2pm on Sunday. UNSUITABLE ITEMS OR ACTIVITIES: Please be aware that QUICKSILVER MOTORCYCLE RALLY reserves the right to, at it's sole discretion, cause any vendor or vendors to cease to sell or attempt to sell any item or items that, in the opinion of the Rally Board of Directors, appears to be offensive to the general public, and/or said items are deemed illegal to be sold in the state of Oklahoma. In addition, public nudity is not allowed to take place at any vendor. Also, no items will be sold with any vulgarity, nudity, or obscenities. No Alcoholic beverages are to be sold or consumed. If any of the above listed occurs said vendor will be subject to closure and be asked to leave the event immediately. Whether you are a first-time or return vendor, we look forward to having you participate as an exhibitor this year for what we anticipate to be another very successful motorcycle rally.
